There's a few key events that trigger processes to follow when preparing for a class launch.


Data Required:

  • Class start date and time:
  • Registration start date and time 
  • Registration close date and time
  • Copy for emails [i.e. subjects/pre-headers]
  • Copy for landing page
  • Zoom link/invitation
  • Masterclass list addition?
  • Price of class?
  • Product Tags in CRM? (remember date-based for recurring events)
  • Evergreen?



Class Preparation / Announcement

  • Make events in our calendars for class closing, opening, and run dates
  • Create the webinar or meeting Invitation in Zoom
  • Clone the most recent class automation in ActiveCampaign. If this is a one-off, clone the last instance of this same class.
    • Change the name of the automation to properly represent the class
    • Change the triggering tag to be for the correct product. Please reference the Tag Guide.
    • Edit the automation times & goals - MAKE SURE YOU USE "on or after" for the time only, and "ON" for the date
    • If the tag is used for recurring events, ensure you're using a date-based tag, or change the existing date-based tag.
    • use existing subjects, but replace with new class
    • Modify the follow-up e-mails 
    • Recording emails will use the Quick Redirects 
  • Create a new segment in ActiveCampaign and document it here: https://airtable.com/shrbg7pMhpuIZztip
  • Review automation with Admin Assistant.

    • Wait Times
    • Email Subjects
    • Tag


  • Review the landing page copy to ensure that it matches michael's document
  • Registration Scheduling
    • Set landing page publication date and time to registration open date and time
    • Ensure the product publication date and time to the registration open date and time
    • Schedule a button to change during the opening time.

Opening Registration

  • Publish product
    • if this is a one-day class, copy the existing product
    • verify that purchase_class_xxxx (class name per the Tag Guide) is listed in WP Fusion Settings
    • If the product doesn't exist, contact Christopher Fern
    • double check the price to ensure it matches what we expect
  • Ensure landing page is published
  • Make the automation active
  • Add Register Now button to landing page 


Closing Registration (2 days after class start (start+48) )

If not evergreen:

  • Unpublish product
  • Unpublish landing page
  • Remove Register button from classes page


Class Processing Complete (1-2 days after last class)

  • Turn off the automation
  • Remove the segment
